How to Clean Messy Excel Address Lists

Managing a large mailing list in Excel can quickly become a nightmare. Whether your data is all-caps, missing ZIP codes, or clumped into single cells, follow these three steps to get your spreadsheet shipping-ready.

1. The "Text to Columns" Trick

If your names and addresses are stuck in the same cell, don't re-type them. Highlight the column, go to the Data tab, and select Text to Columns. Choose "Delimited," check the "Comma" box, and watch Excel split your data into clean, separate columns instantly.
